Volunteer Committees

Prairie Home and School is made up of many committees that plan, execute and facilitate the activities/events organized our volunteers.

 

Listed below is a description of all the H&S committees and the commitment level. Some committees need many volunteers and some function with only one or two chairperson(s).

Art Awareness

Volunteers present curriculum-related art topics in the classrooms three (3) times during the school year.  The chairperson is responsible for organizing volunteers at the beginning of the school year. This person will also manage the program and supplies throughout the year.

 

Commitment:  Low, 3 times/year

Art from the Heart

This committee creates an art project with each grade level or each Prairie classroom that is raffled off as a fundraiser or made available for purchase as prints, cards or novelty items to the Prairie community either online when deemed necessary, or at Open House in January/February.

 

Online sales in April/May coincide with Mother’s Day. Original works made available for auction at the Adult or Family Social or donated to Prairie to be displayed when appropriate. The chairperson(s) are responsible for choosing a theme, coordinating volunteers to work in each classroom or working directly with the art teacher, conducting raffle ticket sales and drawings.

 

Commitment: High in the fall/winter until items are created. Medium until fundraiser is completed in either February or May.

Sign Up for a Committee

Assemblies

This committee coordinates the 3 to 4 assemblies offered to the student body during the school year.  The committee chairperson selects and manages these programs with the Principal’s approval.

 

Commitment:  Low, with most assemblies booked by October/November.

A

Author Visits

This chairperson acts as the intermediary between the LRC director and Anderson’s Bookstore to select authors to host at Prairie. Duties include preparing a  welcoming environment for each author, including bulletin boards, marquee, and thank-you gifts.

 

The chairperson also facilitates student artwork or writing pieces as appropriate and coordinates the logistic for the author talk, assisting with book signings. After each visit, he/she is responsible for collecting book orders and distributing signed books. 

 

Commitment:  Varies throughout the year.  Visits can occur at any time. Expect 5-6 visits yearly.

Book Fair/Birthday Books

There are two book fairs offered during the school year. The largest is held in conjunction with Parent/Teacher conferences in October/November. The second is held during spring conferences in March. The chairperson(s) are responsible for managing volunteers and activities associated with operating these events, and for working with the vendor(s).

 

The Book Fair committee also manages Birthday Books. In celebration of student birthdays, each student is invited to make a selection from the books purchased by H&S. Chairs will purchase and maintain the selection of available Birthday Book choices.

 

Commitment:  High for a short period of time, twice/year. 

Community Co-Ventures

This committee coordinates fundraising partnerships with various community businesses throughout the school year.  Fundraisers include Shop-n-Share at local businesses and designated “eat-in” days at local restaurants with proceeds benefiting Prairie H&S.

 

Commitment:  Low throughout the year.

Directory

This committee is responsible for designing, compiling and publishing the annual Prairie School Directory. The Chairperson receives all family contact information directly from District 203.

 

Commitment:  High for a short period of time at the beginning of the school year.

Family Connections

This committee offers/coordinates support to families in need within the Prairie community.  Volunteers may help provide meals, offer childcare or other support activities as determined by the chairperson(s). The chairperson(s) coordinates volunteer efforts with the school social worker, nurse and principal and serves as the liaison(s) between families needing assistance and the volunteers. 

 

Commitment:  Medium, varies throughout the year.

Fifth Grade Special Projects

This committee offers/coordinates support to families in need within the Prairie community.  Volunteers may help provide meals, offer childcare or other support activities as determined by the chairperson(s). The chairperson(s) coordinates volunteer efforts with the school social worker, nurse and principal and serves as the liaison(s) between families needing assistance and the volunteers. 

 

Commitment:  Medium, varies throughout the year.

Garden Committee

This Committee is responsible for the annual maintenance, planting, watering and harvesting of the Prairie Edible Garden. This includes the summer months. Students and teachers are encouraged to access the garden to support science curriculum. Garden Committee members work closely with the Fall Social Committee to acknowledge the fall harvest. Activities planned highlight the work of the Garden Club’s accomplishments for that growing season.  

 

Commitment:  Varies with growing season, low in winter months, medium/high in spring, summer and fall.

Jingle Bell Junction

This committee is responsible for organizing and promoting this annual winter event.  Students are given the opportunity to shop for inexpensive holiday gifts one Saturday morning in December. 

 

Commitment:  Medium for the months of November/December.

Marquee

The Marquee chair is responsible for maintaining the messages on the outdoor marquee year-round.  He/she organizes information for H&S and for school events received from staff and H&S chairpersons. 

 

Commitment:  Low, all year.

Movie Night

This committee is responsible for scheduling, planning and implementing a Movie Night event in the Prairie Gymnasium. This event is typically scheduled for winter or spring, before the weather is too warm as the gymnasium is not air-conditioned. 

 

Commitment:  Medium in the months, leading up to the event.

Prairie Day

This committee organizes and manages this non-competitive, fun-filled day for all Prairie students during the last week of school.  The chairperson(s) are responsible for organizing the event, and for recruiting and coordinating its numerous volunteers.  (Note:  this is the school “field day”)

Commitment:  High for the few weeks leading up to the event.

Prairie Fest (Formerly Fall Social)

This committee organizes and manages this social event that occurs each fall. The chairperson(s) are responsible for organizing the event, and for recruiting and coordinating its numerous volunteers. 

 

Commitment:  Medium for the weeks leading up to the event.

Prairie Partners

This committee welcomes and mentors new families who join the Prairie community.  Prairie Partner volunteers reach out to new families and make themselves available to guide them throughout their first year at Prairie. 

 

Commitment:  Low, mostly at the beginning of the school year.

Prairie Home & School Website

This committee is responsible for maintaining the Prairie Home & School volunteer website and sending out the Google Forms at the beginning of the year. This includes keeping an updated calendar of events, assisting H&S Chairpersons with the registration of their events, and the recruitment of volunteers. Prairie parent volunteers are able to pick and choose from upcoming volunteer opportunities. All H&S events are posted on this website. 

 

Commitment:  Medium, beginning of year; low, all year.

Room Parents

The Room Parent Committee hosts three (3) classroom parties per school year. For each classroom party, five parents per class will be assigned to support a specific party. Parent volunteers should expect to serve at one party only per child per year, unless a class is short volunteers and a repeat is necessary. Each classroom will have a Head Room Parent who organizes the parent volunteers, games and activities. 

 

*Please note: Families with multiple students will not be allowed to split time in multiple classrooms for a specific party. If a parent wants to volunteer for more than one class, they should sign up as a room parent for each child’s class and work one party for each child.

 

Commitment:  Medium at the beginning of the school year, Low for the rest.

School, Family, Community Partnership (SFCP)

This committee serves as a liaison between the District SFCP committee and Prairie Elementary. The chairperson(s) are responsible for planning and orchestrating special events that promote school improvement goals and involve families and the community. The Principal appoints this committee. 

 

Commitment:  Medium in the 2-4 weeks leading up to planned events (usually 2-3/year).

School Supply Kits

This committee coordinates with teachers to prepare school supply lists for each grade level. They then work with a vendor to create the kits and manage the sale. In early spring, school supply kit order forms are sent home with each student entering K-5 grades. This committee processes and distributes all orders. Preliminary work begins in January and most of the work is completed by the end of the school year.  The exceptions being the distribution of the supply boxes to the classrooms and the selling of the assignment notebooks and headphones the first week of school. 

 

Commitment:  Low/Medium, January-May, early fall.

Special Projects

This is a unique committee that oversees several projects and programs. It is ideal for those who want to volunteer but cannot make a regular time commitment.Volunteers may be called occasionally to help with Picture Day, Picture Re-take Day and the Kane County Cougars Reading Program. The Special Projects committee has a sub committee that oversees Health and Safety activities such as organizing volunteers for the Vision and Hearing Testing, organizing the Walk to School Day and setting up and maintaining the Hat and Mitten Tree. Volunteers can assist with one aspect of this committee or many depending on their availability.  

 

Commitment:  Low, flexible, occasional.

Social Fundraiser

This committee requires at least two co-chairs. Committee members organize and promote this annual H&S fundraiser. This event can take place at a time of the chairpersons and committee’s choosing. There have been adult dinner dances, family fun runs, candlelight bowls, etc. The event can include raffles and silent auctions but does not need to incorporate the same ideas year to year. 

 

Commitment:  High in the weeks leading up to the fundraiser. 

Spirit Wear

This committee requires at least two co-chairs. This committee is responsible for managing and selling Prairie Spirit wear. These items include sweatshirts, t-shirts, hats, water bottles, etc with the Prairie logo. 


Commitment:  Medium at the beginning of the school year.

Staff Appreciation/Gifts

This committee is divided into two (2) subcommittees, Food and Gifts. The Food sub-committee is responsible for working with volunteers to provide meals and treats periodically throughout the school year for Prairie staff (usually 4-6 times). The Gifts sub-committee is responsible for providing tokens of appreciation, acknowledgements of sympathy, and congratulations for the staff, as needed, throughout the year. 

 

Commitment:  Low, at various times throughout the year.

Staff Gift Cards

This committee is responsible for organizing, advertising and distributing staff gift cards ordered by Prairie families prior to Winter break and at the end of the school year. 

 

Commitment:  Medium, twice a year.

Yearbook

It is this committee’s responsibility to create the yearbook that is made available for purchase by Prairie students. Volunteers photograph events throughout the school year. The chairpersons are responsible for creating the overall layout, organizing yearbook final editing/proofing, managing the cover contest, and distributing yearbooks to students. Page editors create 2-3 page layouts of classroom activities, special events, clubs and specials. 

 

Commitment:  Low/Medium for volunteers, all year; Medium/High for chairs.

Yearbook Sales

It is this committee’s responsibility to organize and promote yearbook sales throughout the school year. Committee members work closely with they yearbook committee to ensure timelines are adhered to and adjusted as needed.   

 

Commitment:  low, occasional.
